GENERAL DESCRIPTION

The Accounting Manager is responsible for day-to-day oversight of the Museum’s accounting operations, including general ledger maintenance, accounts payable and receivable workflow oversight, payroll review, cash management, and preparation of financial reports. The role supports the Senior Director of Accounting with audit preparation, budgeting, staff supervision, and human resources-related financial tasks. The Accounting Manager ensures proper internal controls, accurate coding, and consistent review of invoices and financial transactions.

DUTIES AND RESPONSIBILITIES

General Accounting Oversight

  • Oversee daily accounting operations, including general ledger, accounts payable and receivable, payroll review, cash management, endowment and grant accounting, and related functions.
  • Prepare and review journal entries to support timely month-end and year-end closings.
  • Monitor daily cash position and cash flow requirements.

Budgeting, Reporting, and Audit Support

  • Assist the Senior Director of Accounting in preparing the annual budget.
  • Prepare and distribute monthly financial reports to department heads, confirming accuracy of account coding and allocations.
  • Serve as liaison to external auditors and prepare required audit schedules.

Accounts Payable Oversight

  • Review invoice coding and supporting documentation in FENXT before approval by the Director.
  • Confirm that Department Heads have approved invoices through the FENXT workflow.
  • Oversee vendor documentation and compliance.

Accounts Receivable Oversight

  • Review AR aging reports prepared by the Accounting Assistant.
  • Approve adjustments, corrections, or write-offs as needed.
  • Monitor collection issues and escalate concerns.

Payroll Oversight

  • Review payroll inputs and exception reports prepared by the Accounting Assistant.
  • Maintain personnel files and time-off records.
  • Record payroll-related journal entries.

Cash Handling and Reconciliation

  • Review documentation for all cash receipts and deposits and ensure accurate bank reconciliation.
  • Oversee petty cash, credit card reconciliations, and associated internal controls.

Supervision and Administration

  • Supervise, train, and serve as back-up to Business Office staff.
  • Oversee preparation and filing of Federal, State, and local tax filings.
  • Perform additional duties as assigned.

QUALIFICATIONS

  • BA or BS in Accounting, Business, or related field, or equivalent experience totaling at least seven years of increasingly responsible accounting duties.
  • Experience in nonprofit accounting preferred.
  • Strong analytical and organizational skills with attention to detail.
  • Strong computer skills and willingness to improve systems and processes.
  • Experience with fund and grant accounting.
  • Effective communication skills with staff, external partners, and Board members.
  • Experience with Blackbaud Financial Edge NXT preferred.
  • Ability to manage multiple priorities and meet deadlines.
  • Ability to work collaboratively and adapt to change.

Compensation
$32.00-$38.00 per hour.

Benefits
Eligible for generous part time employee benefits including paid vacation and sick time and participation in employer-contributing 403b plan.

Schedule
Part time, 20-25 hours per week (four days per week, specific schedule negotiable). Mainly on-site in Hartford, CT, but potential for one day remote.
